Trust and security

How we protect your estate’s data.

A gate system knows who lives in your estate, who visits them, and when. Here is what VillaSafe collects, why, and how we keep it safe, in plain language.

01How we protect it

Six safeguards, built in.

  • Only what each person needs

A guard sees today’s expected guests, not a resident’s history. Managers see their own estate and nobody else’s.

  • Locked down on the way

Everything travels encrypted between phones and our servers, and every table is protected by access rules at the database itself.

  • Passes that expire

Every pass has a time window and stops working on its own. A screenshot from last week opens nothing.

  • Careful offline

Gate phones keep only what they need to check passes, with the codes stored scrambled. Offline scans are re-checked when the network returns.

  • A record you can stand behind

Entries, exits and admin actions are logged with the time and the person, so questions end in facts, not arguments.

  • Only what the gate needs

We collect the details a visit needs and nothing more, the principle at the heart of the Nigeria Data Protection Act 2023.

02What we collect

Only what the gate needs.

Data VillaSafe collects and why
AboutWhy
Residents and their householdsNames, phone numbers, house or unit, and the family members, staff and vehicles they add.So the gate knows who lives where, and who they’ve allowed in.
GuestsThe name and phone number the resident enters, the visit time and the gate.So the pass reaches the guest and the guard knows who to expect.
VisitsWhen each person came and went, at which gate, and which guard checked them.So the estate has a record it can trust.
Estate staff and guardsNames, phone numbers, roles and the actions they take in the app.So every action has a name on it.

03Nigeria’s data law

Working within the NDPA 2023.

The Nigeria Data Protection Act 2023 sets out how personal data must be handled, and the Nigeria Data Protection Commission (NDPC) oversees it. Its core idea is simple: collect only what you need, for a clear purpose, keep it safe, and respect people’s rights over their own information.

In a VillaSafe estate, the estate decides whose details go into the system and why. VillaSafe processes those details to run the gate, limits each person to what their role should see, and keeps a record of who did what.

Residents and visitors can ask to see, correct or delete their details. Most requests go to the estate first; you can also write to us at sales@villasafe.com and we’ll help. Our privacy policy has the detail.

04Found a problem?

Tell us, and we’ll fix it.

If you believe you’ve found a security weakness in VillaSafe, please email sales@villasafe.com with “Security” in the subject. Tell us what you found and how to reproduce it, and please give us a fair chance to fix it before sharing it with anyone else.

Questions

Data questions, answered

Is our residents’ data safe?

Each person sees only what their role needs: guards see today’s expected guests, managers see their own estate. Data travels encrypted, every table is protected by access rules, passes expire on their own, and offline gate phones store codes in scrambled form. Our trust and security page has the detail.

Who can see our estate’s data?

The people your estate gives access to, each limited to their role, and the VillaSafe staff who support your account. We use it to run your gate. Our privacy policy explains what we keep, why, and for how long.

What happens when there’s no internet at the gate?

The gate keeps working. The guard’s phone holds the passes that can be used at your estate, checks codes with no network, and keeps a record of every entry. When the connection returns, it syncs everything and flags anything that changed in the meantime.
