How VillaSafe works
From invite to open, in four steps.
A resident sends a pass, the guest shows it, the guard scans it, and the gate opens. Behind those four steps sit three apps that share one record, so everyone sees what they need and the estate keeps a history of every visit.

01How a visit works
Invite. Share. Scan. Open.
Four steps from a resident’s phone to a lifted barrier, with a record of every one.
Invite
The resident creates a guest pass in the app: who is coming, which day and what time.
Drivers, cleaners and regular visitors can get passes that repeat on set days.

The pass goes to the guest on WhatsApp as a QR code and a PIN. Guests don’t need the app.
No smartphone? The guest reads the PIN out to the guard instead.

The guard scans the code at the gate. VillaSafe checks it at once, even with no network.
If a pass is expired, already used or for another gate, the guard sees it straight away.

Open
With a connected barrier, the gate lifts by itself. Every visit is logged in and out.
Passes expire on their own, so yesterday’s code is worthless today.

Questions
Before you start
How does setup work?
Four steps: a free demo, a visit to your gate, setup with your residents and guards, then go-live with your team trained. How long it takes depends mostly on the size of your estate and whether you’re connecting hardware; we’ll give you a timeline after the site visit.
Our guards aren’t tech-savvy. Will they cope?
If a guard can use WhatsApp, they can use VillaSafe. The guard app is one screen: scan the code, check the name, let the guest in. We train your guards when we set you up, and short how-to videos cover every task they’ll do.
Will residents actually use it?
Residents use it because it saves them the phone calls from the gate. Sending a pass takes a few taps, and guests don’t install anything: the pass arrives on WhatsApp. You can invite every resident with a single sign-up link for your estate.
What happens when there’s no internet at the gate?
The gate keeps working. The guard’s phone holds the passes that can be used at your estate, checks codes with no network, and keeps a record of every entry. When the connection returns, it syncs everything and flags anything that changed in the meantime.
What if a guest doesn’t have a smartphone?
Every pass has a PIN as well as a QR code. The guest reads the PIN out at the gate and the guard checks it in the app.
